1 Who we are

Keiki Coders is based in Honolulu, Hawaiʻi.

This policy covers keikicoders.com, our registration system and your account with us.

Our Terms of Service cover registration, payment, refunds, pick-up and photos, and you accept them when you register. This policy does not change the Terms. Where both touch the same topic, such as photos in Terms section 7, Photos, Media and Privacy, the Terms apply.

2 Information we collect

Personal information. When you visit keikicoders.com, we may collect personal information such as your name, email address, and any other information you voluntarily provide to us through forms or communication channels.

When you register your child, that includes:

  • Your account. Your name, email address and phone number, and how you sign in: with a password, or with Google, which shares your name and email address with us.
  • Your family. Your household name and home address, used for our records and receipts.
  • Other adults. A second guardian or emergency contact, and the people you allow to pick up your child: their name, phone number, email address where you give one, and relationship to your child. We use these to reach your family and to hand your child over safely.
  • Your child. First, last and preferred name, grade, school, T-shirt size and after-school care, so we can build class rosters, place your child in the right group, order shirts and hand your child over at the end of the day.
  • Allergies and medical notes. The health and allergy notes you give us. We encrypt them and share them only with the people caring for your child, for their safety.
  • Your child's camp photo. A head shot of your child, which we ask for when you register for camp. It is stored privately, only you and our office can see it, and we keep a record each time our office opens it.
  • Attendance. Teachers record attendance, sometimes with a short note. When your child is marked absent, we email you, and you can answer with a note.
  • Bookings and requests. What you register for, waitlist places, and refund requests with the reason you give.
  • Orders. The payer's name, email address, phone number and billing address, each child's name, and the amounts and discounts. We keep these records unchanged for accounting.
  • Policy acceptances. Which of our terms or waivers you accepted, which version, and when.
  • How you heard about us. We ask once, at your first registration.
  • Website forms. What you send through our contact form or our "Get KC at your school" form comes to our inbox.

Usage data. We also collect information about how you interact with our website. This may include your IP address, browser type, referring pages, and pages visited. Your IP address is personal information, and we treat it that way.

Our forms also use your network address for a moment, to stop abuse. We do not store it.

3 How we use your information

  1. Running our programs. To register your child, build class and camp rosters, take attendance, keep your child safe and hand them over at pick-up.
  2. Payments and records. To take payment and keep the records we need for accounting.
  3. Improving our website. We use the information collected to improve keikicoders.com and its functionality. Our public pages are the same for every visitor; we do not personalize them.
  4. Communication. We may use your contact information to respond to inquiries, provide updates about our services, and communicate important information regarding your account. Section 4 explains the emails we send.
  5. Analytics. We analyze how people use our public pages, with Google Analytics, to understand trends and improve our website's performance. Google Analytics does not run on registration, sign-in or account pages.

4 Emails from us

Service emails. We email you about what you have booked or asked for: registration and camp confirmations, absence notices, waitlist offers, replies to our forms, and account emails such as sign-up and password resets. They are sent through Resend. We do not track whether you open them or click their links.

Marketing email. We send marketing email only to families who have registered with us or asked to hear from us, and you can opt out at any time.

5 Data security

We take the security of your personal information seriously and employ industry-standard measures to protect it from unauthorized access, disclosure, alteration, or destruction.

In practice: allergies and medical notes are encrypted; photos and documents are kept in private storage; every connection to our website and systems is encrypted; each family can see only its own records; and our system logs identify people by an internal number, not by name or contact details.

6 Who we share it with

We do not sell, trade, or otherwise transfer your personal information to third parties without your consent, except where required by law or to facilitate services you have requested.

These services help us run our programs, and each receives only what its job needs:

  • Stripe takes payments. It receives the payer's email address, the amount, a description of the order, and each child's first name and last initial. You enter your card details on Stripe's own secure page, not on ours.
  • Resend delivers our emails, including account emails.
  • Supabase hosts our database, sign-in and file storage, in the United States.
  • Render runs the servers behind our registration system, in the United States.
  • Vercel serves our website.
  • Google Analytics measures visits to our public pages only.
  • Google signs you in, if you choose to sign in with Google.

Your child's school. When a class is held at a partner school, the school may be given read-only access to the rosters for its own campus.

7 Cookies

keikicoders.com uses a small number of cookies:

  • A sign-in cookie keeps you signed in to your account. You need it to use your account.
  • Google Analytics cookies count visits to our public pages. They are not used on registration, sign-in or account pages.
  • If we measure completed registrations, your browser keeps a small note so the same registration is not counted twice.

We use no other analytics or tracking tools.

You can choose to disable cookies through your browser settings, although this may affect certain functionalities of the website.

9 Children's privacy (COPPA)

Our website, keikicoders.com, is not directed at collecting data directly from children under the age of 13 without parental involvement. We do not knowingly collect personal information directly from children, and if we become aware that we have inadvertently collected such information without parental consent, we will take steps to delete it promptly.

We only collect information regarding children directly from parents or legal guardians for legitimate business purposes (such as roster creation and safety).

We do not permit children to create accounts or submit personal data themselves.

Campers use kid-friendly coding platforms. Any accounts are created with a first name or nickname only, under staff supervision. Campers' coding projects may be saved online so they can share them with family after camp.

Parents retain the right to review, update, or request the deletion of their child's personal information at any time by contacting us.

If we discover we have inadvertently collected data directly from a child without parental consent, we will delete it promptly.

10 Photos and video

We may take photos or videos during class. Section 7 of our Terms of Service, Photos, Media and Privacy, explains how we use them, that no student's name is shared publicly without written permission, and how to tell us if you prefer your child not to appear. You can always contact us directly at hello@keikicoders.com.

For camp: you may opt out at any time by emailing hello@keikicoders.com. Opting out applies to all future photos.

Your child's camp head shot (section 2) is not one of these photos. It stays in private storage, and only you and our office can see it.

11 How long we keep information

We keep purchase records for accounting, even after an account is closed.

12 Your choices and rights

  • Review and update. You can see and change your family's and your children's details in your account at any time, or ask us to.
  • Deletion. Parents retain the right to review, update, or request the deletion of their child's personal information at any time by contacting us.
  • Email. Marketing email only reaches you if you choose it; see section 4.
  • Cookies. You can turn cookies off in your browser; see section 7.

13 Changes to this policy

We reserve the right to update or modify this Privacy Policy at any time. Any changes will be reflected on this page, and your continued use of keikicoders.com signifies your acceptance of these changes.

When we change it, we update the "Last updated" date at the top of this page.

14 Governing law

This policy is governed by the laws of the State of Hawaii.
